To streamline our campus software ecosystem and improve IT support, Academic Computing Technologies (ACT) is conducting a comprehensive software survey. This initiative will:
- Address software sprawl, the unchecked proliferation of unused or redundant software, which can lead to inefficiencies and higher costs and impact both student and staff workflows.
- Identify unused or expired licenses.
- Outline departmental software ownership and contact points.
- Facilitate conversations about preparing for future compatibility challenges, such as Windows 11 upgrades, where applicable.
We kindly ask for your input on the software used within your department. Your responses will directly shape our new service catalog and ensure continued efficiency and organization in campus IT support.
Why It Matters: By participating, you will help us maintain accurate records, support campus-wide efficiency, and ensure all critical software is documented and managed effectively. Without this information, it may be challenging to provide optimal support for undocumented tools. This survey will also evolve into a resource where new software can be documented for ongoing updates, supporting district-wide compliance with updated administrative procedures and fiscal policies such as NOCCCD’s AP 6520 and GASB Statement No. 96.
How to Participate: Click [here] to complete the survey. It should only take 5-10 minutes per software application. If you manage multiple software, you can submit a new response for each.
Thank you for your cooperation and support in this important project. If you have any questions, feel free to contact us [ACT Email].
FAQ Section
Q1: What software should I include in the survey? A1: Please report software acquired independently by your department or team. You do not need to include standard tools provided by ACT, such as Zoom or Microsoft 365 products.
Q2: Can I submit multiple responses? A2: Yes, please submit one response per software application. This ensures accurate and detailed documentation.
Q3: What if I’m unsure about certain details, like licensing status? A3: Provide the best information you have. If needed, ACT can follow up for clarification.
Q4: How will this information be used? A4: The data will help ACT create a comprehensive software catalog, improve IT support, and identify opportunities for cost savings and efficiency.
Q5: What happens if we don’t participate? A5: While participation is voluntary, documenting your software ensures it remains part of the campus’s IT ecosystem and receives appropriate support.
Software Installation
Faculty and Staff members who would like to have software installed in multiple locations, or on multiple systems such as a Lab or Classroom, should complete the Software Installation Request Form. Once completed, a Service Request will be assigned to the appropriate ACT individual.
Requests to install individual copies of legally licensed software on a single system should be completed by filling out the Software Installation Request Form. These installs will be scheduled as soon as work load permits. Users may be asked to provide further proof of licensing.
